Terms & Conditions for Private Ultrasound Services
This contract is made between:
(1) Tiny Vision Limited (“Tiny Vision Baby Ultrasound Scans”) (“we” “us” or “our”) and (2) you, the customer (“you”) and shall be governed by the following terms and conditions of sale (“conditions”), none of which will affect your statutory rights:
By booking an appointment with Tiny Vision you confirm that you have read, understood and agreed to these Terms and Conditions.
These Terms and Conditions should be read together with our Privacy Notice, Consent Form and other information provided to you before or during your appointment.
1. Our Services:
We provide private non-diagnostic ultrasound services including, but not limited to scans for pregnant women. All of our scans are completed by fully trained and HCPC registered medical professionals specialising in fetal ultrasound (these may be Radiographers, Midwives or Doctors but in these Conditions referred to as sonographer(s)) within the scope of their professional practice and applicable regulatory requirements.
Where applicable, Tiny Vision operates within the requirements of the Care and Quality Commission (CQC). Our services are private services and are separate from NHS maternity and antenatal care.
2. Modification
Details of the scans that we provide can be found on the Tiny Vision website (www.tinyvision.co.uk). All key information is currently found on our website along with our FAQ’s.
We reserve the right to modify or improve our service(s) without prior notice.
3. Booking and Appointment Confirmation
By booking an appointment and placing an order for our ‘services’ you confirm that you agree and understand to these Terms & Conditions. Appointments may be booked online, by telephone, by email or by other methods made available by Tiny Vision. When you make a booking, you are responsible for providing accurate information, including:
- your full name and contact details;
- your date of birth;
- your estimated gestation or last menstrual period where relevant;
- details of your pregnancy where relevant;
- any relevant medical or pregnancy information requested by Tiny Vision, and
- any other information reasonably required to provide the service safely.
An appointment is confirmed once the required booking payment or deposit has been received, Terms & Conditions have been accepted and confirmation has been issued by Tiny Vision.
You must notify us as soon as possible if any information provided at the time of booking changes.
4. How we accept your order
Our acceptance of your order will take place when you make a payment of the non-refundable booking deposit of £30. If we are unable to accept your order, we will inform you of this in writing and we will not charge you. This might be because of unexpected limits on our resources which we could not reasonably plan. Payment of the balance of the cost of the Scan (Price) will become due and payable directly prior to the appointment time. We accept payment in cash or by most major debit or credit cards, but not American Express. We contact you to confirm we’ve received your order by way of confirmation email.
5. Price and Payment Terms
The price of our scans will be clearly displayed on our website at the time of booking.
Where a deposit is required, the deposit amount will be clearly stated before the booking is completed. Appointments generally require a £30 online booking deposit and the remaining balance will be payable prior the appointment unless otherwise stated at the time of booking.
A booking deposit is taken to reserve an appointment time and to cover reasonable administrative and appointment booking costs.
Our prices may change from time to time, but changes will not affect any price which we have already confirmed with an appointment confirmation. We take all care to ensure that the prices quoted on our website are correct at the time when the relevant information was entered into the system. It is always possible that, despite our reasonable efforts, some of the scans on our website may be incorrectly priced. If we discover an error in the prices, we will inform you of this error and we will give you the option of continuing to book the scan at the correct price. Please note that if the pricing error is obvious and unmistakable and could have reasonably been recognised by you as a mispricing, we do not have to provide the scan to you at the incorrect (lower) price.
Our cancellation provisions are set out below.
6. Cancellation and Refunds
We understand that circumstances can change and will try to accommodate reasonable requests to rearrange appointments.
If you wish to make a change to the services or products you have ordered, please contact us as soon as possible. We will let you know whether the change is possible. Tiny Vision will always aim to accommodate your booking if we can do so.
You must give us 48 hours’ notice if you wish to change the date or time of your scan. Failure to do so will result in forfeiture of your non-refundable, booking deposit of £30.
Where an appointment is cancelled with reasonable notice (more than 48 hours), we will normally offer the option of transferring the booking to another suitable appointment, subject to availability or eligible for a full refund of their deposit paid.
Where a customer cancels with insufficient notice (48 hours) or does not attend, Tiny Vision may retain all or part of the booking deposit where this represents a reasonable and proportionate amount to cover losses directly resulting from the cancellation.
We will take reasonable steps to minimise any loss, including attempting to rebook the appointment where possible.
A cancellation charge or retained deposit will not be used to impose an unfair or disproportionate penalty.
If Tiny Vision is able to fill the cancelled appointment with another customer, this will be taken into account when considering any cancellation charge.
Nothing in these Terms & Conditions affects your statutory consumer rights.
You have the right to end the contract for the supply of services before you have received the services, but you will not be entitled to the non-refundable, booking deposit of £30 if at any time you cancel or we have already carried out the services. See the "Summary of your legal rights" box for more information.
If we are unable to accept your order, we will inform you of this in writing and will not charge you. This might be because of unexpected limits on our resources which we could not reasonably plan.
7. Late Arrivals and Missed Appointments
Please arrive in sufficient time for your appointment ideally 5 minutes prior to your booked appointment to complete necessary paperwork. Your appointment time includes the entire visit, including:
- Payment completion
- Consent forms, ID checks
- Ultrasound examination
- Findings explained (if applicable)
- Written report
- Mechandise
Please arrive on time to ensure a full and safe assessment and experience and to avoid delays to other clients.
If you arrive late, we will make reasonable efforts to provide your scan within the remaining appointment time. However, if your late arrival means the appointment cannot be reasonably be completed safely or to an appropriate standard, we may need to shorten, rearrange or cancel the appointment.
Where an appointment cannot proceed because of the customer’s late arrival, the cancellation provisions in Section 6 may apply.
Failing to inform the clinic when you are late for more than 10 minutes and not attending your appointment will be treated as a missed appointment. We reserve the right to charge the full price and cancel your appointment. We reserve the right to suspend or cancel the services if you do not pay us when you are required to or provide us with the information needed to carry out the services. We will refund you any money you have paid in advance if we have not provided the services but may deduct reasonable costs we incur as a result.
8. Medical History
You understand and accept that we do not have full access to your full medical history and records at any time before, during or after your scan is performed and therefore cannot provide medical advice relating to any diagnosis or advise you on any diagnostic results
Certain scans are only appropriate during particular stages of your pregnancy.
Private ultrasound services must not be used as a substitute for appropriate medical care. If you have concerns about your pregnancy including:
- Vaginal bleeding
- Abdominal or pelvic pain
- Reduced or changed movements
- Suspected rupture of membranes
- Severe headache
- Visual disturbance
- Chest pain
- Shortness of breath
- Or any other urgent or concerning symptom
You should seek appropriate medical advice without relying on a private ultrasound appointment.
Tiny Vision may advise you to contact your maternity unit, GP, NHS 111, emergency services or another appropriate healthcare professional where clinically indicated.
You understand that the primary purpose of the scan is to provide non-diagnostic and reassurance scans which are designed to create bonding during pregnancy. Our gender and 4D scans are intended for entertainment and bonding purposes only and do not replace routine NHS scans or antenatal care. Our scans are NOT to discover anomalies or abnormalities, and the wellbeing report completed and issued is a brief non-diagnostic overview of your pregnancy and is often completed at a gestation different to your NHS routine scans. As such, the detection rate of abnormalities may be reduced depending on your gestation at the time of your scan.
It is therefore imperative that you attend all routine NHS antenatal appointments/services and ultrasound scans recommended by your midwife, obstetrician or doctor made available to you, free of charge by the NHS as the identification of abnormalities is their primary aim and intent. You also understand that one ultrasound scan is not suitable to be considered as the sole non-diagnostic assessment of your pregnancy and is not exhaustive to all genetic scenarios. Not all abnormalities are screened for or detectable using ultrasound.
We will have no liability whatsoever for any issues, inaccuracies or otherwise, including but not limited to any abnormalities that we didn’t see or were not present at the time of the scan.
Gender determination is based on baby’s position and visibility during the scan. While every effort will be made to provide accurate information. In relation to gender scans, we cannot guarantee the accuracy of the gender identification. The ability to determine fetal sex may be affected by fetal position, gestational age, image quality and other factors.
The sonographer will provide their professional opinion based on the ultrasound appearance at the time of the examination. We will undertake to do our best to identify the sex of your baby however sex determination cannot be guaranteed and we accept no liability for any incorrect indication of your baby's gender.
A private ultrasound scan at Tiny Vision does not replace routine antenatal care, screening or medical assessment.
9. Referral and Escalation
During your appointment, sonographers may observe and discuss general features such as fetal heartbeat, movements, position, overview of estimated growth measurements, gender and other visible features appropriate to the type of scan booked. Ultrasound examinations have limitations and not all conditions or abnormalities or complications can be detected.
Tiny Vision has procedures for escalation and referral where an unexpected or potentially significant finding is identified. If your sonographer believes that there is any area of your baby's development that needs to be brought to your attention, they will discuss their findings as appropriately as possible within their professional role.
In these circumstances, we will refer you to your NHS care provider for a diagnostic investigation. With your permission, we will send a copy of your report to your NHS care provider (GP, maternity unit, Midwife or any other healthcare professional for further assessment). It is then your responsibility to ensure you consult you NHS care provider.
Tiny Vision may recommend urgent assessment where this is considered necessary. Where a significant or urgent finding is identified we may need to take appropriate action in accordance with our clinical policies, professional responsibilities, safeguarding requirements and applicable law.
Where necessary, you will be advised to seek further assessment, even where Tiny Vision cannot provide a definite diagnosis.
Customers must not delay seeking appropriate NHS or emergency medical assessment while waiting for or relying upon a private scan.
10. Measurements and Growth Information
Certain scans are only appropriate during particular stages of your pregnancy. The only genuinely accurate way to establish the gestational age of a fetus is via ultrasound, however your gestational age can be estimated by using your LMP (the first date of your last menstrual period). This method is widely used in the NHS. If your true gestational age is discovered to be less than the limits of your chosen package, you may choose to book another scan at a later date. As this is outside of our control, a free rescan will not be applicable at all times. The National guidelines to whose standards we operate, recommends that a period of 14 days should pass before a second early Reassurance Scan is performed (transabdominally). However, the minimum timeframe between scans in 7 days via transvaginal ultrasound.
Overview of growth measurements and estimated fetal size are based on ultrasound observations at the time of the scan and are estimates only. All fetal measurements and estimated fetal weights are approximations and may vary and should not be considered definite medical assessments.
We will have no liability whatsoever for any issues, inaccuracies or otherwise, including but not limited to any abnormalities that we didn’t see or were not present at the time of the scan.
11. Client History
You must provide accurate pregnancy and medical information about your pregnancy and medical history where requested when booking and attending appointments. We will need certain information from you in order to provide the services (for example, information regarding your pregnancy history and previous relevant medical information). If you do not provide us with this information or provide incorrect or incomplete information, we may either end the contract or charge you a reasonable sum for the additional work undertaken to obtain the correct information. We will not be responsible for any delays in supplying the services if you do not provide the information. Tiny Vision reserves the right to decline or postpone appointments where appropriate.
Customers expecting twins or multiple pregnancy must inform Tiny Vision when booking as certain services require additional appointment times and different pricing.
12. Use of Tiny Vision website and disclaimers
Any access to online services, information or the Tiny Vision scan website is provided “as is” and on an “as available” basis. We give no warranty that the service will be free of defects and / or faults. To the maximum extent permitted by the law, the material displayed on our website is provided without any guarantees, conditions or warranties as to its accuracy. Tiny Vision is under no obligation to update information on the website. Tiny vision scan accepts no liability for any disruption or non-availability of the website.
Tiny Vision scan reserves the right to change, suspend or discontinue any part (or the whole) of the website including, but not limited to, any products and / or services available. Where our website contains links to other websites and resources provided by third parties, these links are provided for your information only. We have no control over the contents of those websites or resources, and accept no responsibility for them or for any loss or damage that may arise from your use of them.
13. Method
The majority of our scans are performed abdominally, so please attend in clothing that makes it easy to expose your abdomen. But if you have ordered an ‘early vision/reassurance scan’ for early pregnancy, we may offer you an internal/ transvaginal scan to improve accuracy. Your sonographer will discuss this with you and your dignity will be maintained at all times. This will only be carried out with your consent and a chaperone will be provided should you request one. If you decline an internal scan, you accept that we may not be able to provide you with conclusive information.
14. Guests and Reasonable Adjustments
Tiny Vision welcomes appropriate support persons where this can be accommodated safely. The number of accompanying people may be limited because of room size, infection prevention and control, confidentiality, safeguarding, health and safety or other clinical considerations.
You are welcome to bring a maximum of 4 guests, including children, due to clinic space.
Children are very welcome but must remain under the supervision of their accompanying adult at all times.
If you require a chaperone during the examination, please request this at booking at least 24 hours prior to your scan for appropriate arrangements.

15. Photography and Recording
We do not allow any personal photography or video recording to be carried out in our clinics. However, please obtain prior consent for personal photography or recording to be carried out in our clinics ONLY during a gender reveal scan.
16. Images and Recordings
Images, printed photographs, recordings and keepsake materials are provided where applicable. Images and videos are provided for personal use unless otherwise agreed in writing.
Image quality may be affected by factors outside the clinic’s control, including fetal position, gestational age, maternal body composition movement and equipment limitations. Tiny Vision cannot guarantee a particular number, quality or type of images.
Where images and videos are provided electronically, customers are responsible for downloading and safely storing them.
Tiny Vision cannot guarantee permanent access to digital images or videos after the retention period applicable to the relevant records.
17. Age
You must be 18 years old or over to use our services. We will ask you to confirm your age when booking and complete a tick box confirmation on our waiver form prior to the scan. Proof of Identification may be required.
18. Disclaimer
Our scans are non-diagnostic and are not intended to diagnose, exclude, monitor or treat medical conditions, fetal abnormalities, pregnancy complications or any other health concerns. Ultrasound scans have limitations and cannot guarantee the detection or exclusion of all fetal abnormalities, pregnancy complications or medical conditions, Scan findings represent “real time” observations made during the time of the appointment only. The ultrasound scan assessment is based solely on the findings visible at the time of the examination.
We will have no liability whatsoever for any issues, inaccuracies or otherwise, including but not limited to any abnormalities that we didn’t see or were not present at the time of the scan.
19. Cancellation of the services by us
In rare cases (staff illness, equipment issues, changes in the law, interruption to utilities, building or premises problems), we may need to cancel or reschedule your appointment. If we have to delay or amend the date or time of your appointment due to an event outside our control then we will contact you as soon as possible to let you know and we will take reasonable steps to minimise the effect of the delay and inconvenience to customers.
If this happens you will be offered a new appointment at the earliest convenience or a full refund.
We may suspend or cancel the services if you do not pay us when you are supposed to or provide us with the information needed to carry out the services. We will refund you money you have paid in advance if we have not provided the services but we may deduct reasonable costs we incur as a result. Refunds will be processed using your original payment method. Please allow up to 7-10 working days for the refund to appear in your account.
20. Our right to Change the Terms and Conditions
We may revise the Terms and Conditions at any time by amending them. You are expected to check this page from time to time to take notice of any changes we have made.
21. Our Liability to You
We shall not be responsible or liable for any injury, loss or damage to personal belongings whilst you are in our premises. We are only liable for our failure to comply with these Conditions and accept responsibility for loss or damage you suffer that is a foreseeable result of our breaking this contract or our failing to use reasonable care and skill, but we are not responsible for any loss or damage that is not foreseeable or not caused by us breaking the contract. Loss or damage is foreseeable if either it is obvious that it will happen or if, at the time the contract was made, both we and you knew that it might happen, for example, if you discussed it with us during the consultation. We are not liable for any business losses as we only provide the services for domestic and private use. We do not exclude or limit in any way our liability to you where it would be unlawful to do so.
22. What you will receive following the scan
You will receive a written well-being scan report and minimum x2 complimentary scan pictures. Where possible, we will discuss appropriate next steps.
23. Property and Image Rights
We retain copyright of any images that we take. Ownership of the Report shall belong to you once we receive payment in full for the services.
24. Limitations - What we cannot guarantee
Depending on the service booked, an ultrasound may be performed for purposes such as:
- Reassurance and wellbeing
- Early Vision scan
- Estimating gestational age
- Assessing fetal presentation or position
- Providing 3D/4D images
- Determining fetal sex where requested
- Other services specifically described at the time of booking
The scope of the examination will depend on the type of appointment booked.
We will undertake to provide you with the best images possible but you understand that your baby's position during the scan, along with other contributing factors such as maternal BMI, are outside our control. Ultrasound imaging is affected by factors including fetal position, gestational age, maternal bodily habitus, amount of amniotic fluid fetal movement, scarring, fibroids and technical limitations.
The quality and number of images obtained therefore cannot be guaranteed.
We will use reasonable efforts to ensure that your appointment will run on time. In relation to gender scans, we cannot guarantee the accuracy of the gender identification. We will undertake to do our best to identify the sex of your baby. We accept no liability for any incorrect indication of your baby's gender.
A private ultrasound scan cannot guarantee that every fetal or maternal abnormality, condition or complication will be identified. The scan is a limited, non-diagnostic, well-being review, intended for bonding and reassurance only and reflects the findings at the time of the scan. It does not replace the detailed NHS 20 week fetal anomaly scan or the 12 week Combined Screening/Dating scan or any NHS 3rd trimester recommended for growth/placenta scans. Our services are designed to complement and do not replace routine antenatal care or medical advice. Clients remain responsible for attending all routine NHS scans, antenatal appointments/maternity care, following advice provided by their NHS or primary healthcare provider.
25. Consent
By attending and proceeding with the appointment, you confirm you have read and understood these terms & conditions and provide consent to the scan being performed. With your consent, we will carry out a non-diagnostic fetal ultrasound scan of your baby for reassurance, bonding, wellbeing and overall general observation purposes. The primary purpose of the scan is to check the health and well-being of the fetus and to capture 2D, 3D & 4D images.
26. Data Protection and Retention of Records
We only use your personal information in accordance with our Privacy Policy. All personal and medical information is handled in accordance with applicable data protection legislation, including the UK GDPR and the Data Protection Act 2018. Personal information will be collected, stored and processed securely. Your information will only be used to provide your care and will only be shared where there is a lawful basis to do so. Health information is considered special category data and is subject to additional legal protections.
We will only collect and use information that is necessary for the purposes described in our Privacy Policy and for the provision and management of your care and services. Further information about how we collect, use, store and protect personal information is contained within our Privacy Notice.
Tiny Vision will maintain appropriate records relating to your appointment and ultrasound examination, which may include your personal details, consent records, examination details, findings, reports and ultrasound images.
These records will be stored securely and retained for a minimum of 8 years from the date of your ultrasound examination, or for longer where this is required by law, regulatory requirements, professional guidance, an ongoing complaint, investigation, legal claim or other legitimate reason.
Ultrasound images that from part of your clinical record will be retained and not routinely deleted after 30 days. Where copies of images or videos are provided to you through an online gallery, these copies may only remain available for a limited period.
Once the retention period has expired and there is no legal, clinical or regulatory reason to retain the information, records will be securely deleted or destoyed in accordance with Tiny Vision Records Management and Retention Policy.

Your rights under the Consumer Rights Act
You can ask us to repeat or fix a service if it's not carried out with reasonable care
and skill, or get some money back if we can't fix it. If your product is goods (i.e., a scan picture), the Consumer Rights Act 2015 says goods must be as described, fit for purpose and of satisfactory quality.
Complaints
Tiny Vision aims to provide a safe, professional and compassionate service. If you are unhappy with any aspect of your care or experience, please contact Tiny Vision on the day of your appointment so that your concern can be investigated in accordance with our complaints procedure.
Where appropriate we will acknowledge, investigate and respond to complaints within the timescales set out in our complaints policy.

Online Dispute Resolution and Alternative Dispute Resolution
Alternative dispute resolution is a process where an independent body considers the facts of a dispute and seeks to resolve it, without you having to go to court. If you are not happy with how we have handled any complaint, you may want to contact the alternative dispute resolution provider we use. Online dispute resolutions applies where services are bought online. It allows you to submit a complaint via an online complaint form. Enforceability & Jurisdiction
This contract is between you and us (Tiny Vision Ltd) and are governed by the law of England and Wales. No other person shall have any rights to enforce any of its the Terms & Conditions, whether under the Contracts (Rights of Third Parties Act) 1999 or otherwise and we and you will not need their consent to cancel or make any changes to the Terms & Conditions.
Each of the paragraphs of the Terms & Conditions operates separately. If any court or relevant authority decides that any of them are unlawful or unenforceable, the remaining paragraphs will remain in full force and effect.
This agreement and conditions are governed by English Law and you can bring legal proceedings in respect of the products in the English Courts, subject to any mandatory consumer rights that apply to you. All disputes arising under the agreement (including non-contractual disputes or claims) shall be subject to the exclusive jurisdiction of the English courts. If you live in Scotland you can bring legal proceedings in respect of the products in either the Scottish or English courts. If you live in Northern Ireland you can bring legal proceedings in respect of the products in either the Northern Irish or the English courts.
Acceptance of these Terms and Conditions
By completing an online order or booking an appointment with Tiny Vision, you confirm that:
- You have had an opportunity to read these Terms and Conditions
- You understand the nature and limitations of the service you have booked
- You understand that a private ultrasound does not replace NHS antenatal care or recommended NHS scans
- You agree to provide accurate information relevant to your appointment
- You agree to these Terms and Conditions.
